Discovery tool upgrade project update

August is drawing ever nearer and we are on track to launch the new discovery tool and building digital capability enhancements, and so wanted to take this opportunity to provide you with a final update, draw your attention to some key notices and encourage you to join us at one of our live events. Please feel free to share the update with colleagues in your organisation, and contact help@jisc.ac.uk (with 'digital capability' in the subject line) should you wish to add anyone to the mailing list.

Read-only access from 18 July

We need to undertake some final updates to the discovery tool between 18 July and 1 August, and these can only be done with a static dataset. Therefore, as per our recent email and updates during live events, we will be restricting access to the discovery tool to read-only. This means that no resource content can be added, removed or deleted and users cannot undertake any question set. You will still be able to access the user reports and the organisational data dashboards.

We have tried to minimise the impact to colleagues by undertaking these final activities outside of key term times, but understand this may cause an inconvenience for some, for which we can only apologise.

Preparing for the launch

The change will be seamless on 1 August as the URL will not change, and all user credentials will be migrated across. You will be able to log in and get started. (however, should you experience any issues, please contact us).

In addition to the new discovery tool, we'll be publishing new support material to the website, and the updated organisation and individual capability frameworks.

User reports

As we have previously shared, individual user reports will not be migrated to the new platform, and will remain on the original version. Whilst there will be a period of grace, please encourage all users to download their reports and save them locally.

Tailored subject and department headings

As promised, we are pleased to share with you that there will be the option to tailor subject and department names to better reflect your organisation and allow you a bespoke and granular level of reporting. If you have requested this option for 1 August, please ensure that your mapping templates are returned to us via help@jisc.ac.uk by 3pm on Friday 15 July.

For those of you who have not yet decided, or are unable to meet this date, we will work with you and the product team to effect this change for your organisation after the initial launch.

Training Programme

Our series of overview and training webinars are well underway, and we have already had a great response to the showcase of the new discovery tool. If you missed the event, please contact help@jisc.ac.uk for a recording, or keep an eye in the subscribers hub.

Our next sessions will provide lead contacts with the opportunity to learn how to navigate, as an administrator, around the tool.

User test group

Thank you to everyone who has offered to participate in the upgrade user test group - we now have a team of around 20 users who will be putting the new platform to the test. If you spot anything that doesn’t look right in the new version please email help@jisc.ac.uk and we will happily look to provide a resolution.

Once we have completed the launch of the enhancements, we will be issuing our final newsletter of 2021-22 celebrating the successes of the year and sharing any forthcoming news.
